Zoho Desk Alternatives
Zoho Desk is a low cost help desk for the Zoho ecosystem. Learn when to stay on their $7 plan and when to switch to free alternatives.
The short version
- →Zoho Desk is the most affordable per-seat option at 7 dollars per month but its free tier excludes live chat.
- →Eight out of the twelve major help desk tools offer a free tier but most limit you to two or three users.
- →LastWorker provides unlimited seats and free live chat with no monthly subscription fees.
- →If you already use Zoho CRM and only need email ticketing for three people the Zoho Desk free tier is a strong fit.
Zoho Desk is the right choice if you already use the Zoho ecosystem or need the cheapest per-seat help desk available. However, if you need live chat for free or want to avoid monthly per-seat fees, you should consider LastWorker, Tawk.to, or Help Scout. LastWorker is unique because it has no subscription fees and charges per interaction.
Who should stay on Zoho Desk?
I have managed operations for a regional dental practice with eleven front desks. We had people coming and going constantly. When you have a stable team and you are already deep into Zoho CRM or Zoho Books, switching is usually a mistake. Zoho Desk is built to talk to those other tools without any extra work.
If your team is small and you only care about email, you should stay. The Free Edition covers 3 users for email ticketing. That is a fair deal. You get a basic ticket system without a credit card. If you grow past three people, Zoho Desk Express is only 7 dollars per user per month when you pay for the year. Out of the twelve tools I have analyzed for this site, that is the lowest entry price for a paid plan. Most other tools like Help Scout or Front start at 25 dollars per seat.
You should stay if you do not want to manage multiple vendors. If you like having one bill for your CRM, your email, and your help desk, Zoho makes sense. The integration is the primary reason to use it. If you move away, you have to worry about syncing data between different companies.
Why do people look for a Zoho Desk alternative?
The main reason I see businesses leave Zoho is the jump from email to live chat. The free tier is email only. If you want a chat widget on your website to talk to customers in real time, you have to pay. For many small businesses, that is a deal breaker.
Another reason is the seat tax. In my experience running restaurants, I had managers who only needed to check the help desk once a week. In a per-seat model, I still had to pay 7 or 14 dollars every month for that manager just to have a login. When you have ten or fifteen people who need occasional access, those monthly fees add up.
Some people also find the interface a bit cluttered. Zoho builds a lot of features. For a receptionist at a dental office who just needs to answer a question about an appointment, the sheer number of buttons can be overwhelming. I have watched good leads die in a voicemail box because the software was too complicated for the staff to use quickly.
How does the Zoho Desk free tier work?
The Zoho Desk Free Edition is a basic ticketing system. It allows for 3 users. It handles email tickets and gives you a private knowledge base. It does not include live chat. It does not include social media integrations.
In the wider market, 8 out of 12 tools offer a free tier. Zoho is middle of the road here. Help Scout is more generous with 5 users. Tawk.to is the most generous because it has no limits on agents or chat history for free. On the other end of the spectrum, tools like Zendesk, Intercom, and Front do not offer a free tier at all.
If you are a solo founder or a tiny team of two, the Zoho free tier works fine for email. But the moment you want to add a fourth person or respond to a chat on your website, you are looking at a monthly bill.
What does Zoho Desk actually cost?
Pricing for help desks changes often. I suggest you check https://www.zoho.com/desk/pricing.html to see the current rates. Based on what I have seen, the Express plan is roughly 7 dollars per user per month when billed annually.
If you want live chat, you usually look at the Standard plan. That is about 14 dollars per user per month. They also have "light agents" for 6 dollars per month. These are for people who need to see tickets but not necessarily own them.
Compare that to other tools. Tidio is 24.17 dollars per month. Help Scout is 25 dollars per user. Freshdesk and Chatwoot both start at 19 dollars per agent. Zoho is objectively the cheapest paid option among the tools we track. If your goal is to pay the smallest possible monthly subscription for a professional help desk, Zoho Desk is the winner.
What are the best alternatives to Zoho Desk?
If you want a different tool, your choice depends on why you are leaving.
If you want a tool that is truly free for chat, Tawk.to is the standard. It has no limits on seats or chat history. They make their money by selling an "add-on" to remove their branding or by providing live agents you can hire. It is a very different model than Zoho.
If you want a better interface and can afford the 25 dollar per seat price, Help Scout is excellent. Their free tier allows 5 users, which is more than Zoho. It feels more like a shared inbox and less like a complicated database.
If you want to avoid monthly subscriptions entirely, that is why we built LastWorker. We watched businesses struggle with the "per-seat" model for years. At LastWorker, the live chat and email support are free forever. You can have unlimited teammates. You can have unlimited conversations. We do not even ask for a credit card to start.
How does LastWorker handle pricing differently?
The biggest difference between LastWorker and Zoho Desk is the subscription. We do not have one. There is no per-seat fee.
We provide the shared inbox, contacts, tickets, and a public help center for free. If you have 50 employees, it still costs zero dollars per month for the software. We only charge when you use our automated services.
If you want an AI to answer a chat, an email, or an SMS, it costs 4 cents. That only happens when the AI actually generates a reply. If a human answers, it is free.
If you want an AI to answer your phone calls, it costs 1 cent per minute. This includes the carrier costs. You can get a phone number for 1 dollar per month. Inbound SMS is free. Outbound SMS is 3 cents per segment.
This model works well for service businesses like the ones I have run. A restaurant might be busy on Friday night but quiet on Tuesday. Why pay for ten seats on a Tuesday? With LastWorker, you only pay for the work that gets done.
What should you consider before switching?
Switching a help desk is a chore. I have done it at 2 am while writing phone scripts for a new system. It is never as fast as the salesperson says it will be.
Before you move, look at your volume. If you get 500 emails a month and have 3 people, Zoho Desk's free plan is perfect. If you start getting 5,000 emails and have 10 people, Zoho will cost you about 70 to 140 dollars a month.
At that point, look at the alternatives. Tidio might be 24 dollars a month, but they limit you to 50 conversations on their free tier. Once you hit 51, the widget just stops working. Out of the 8 tools with free tiers, 7 of them have some kind of limit on seats or conversations. LastWorker and Tawk.to are the outliers that do not limit those things.
How does AI change the cost of a help desk?
Zoho uses Zia AI on their higher-paid plans. It helps with sentiment analysis and tagging. It is built into the monthly subscription price of those tiers.
At LastWorker, AI is off by default. Everything is manual until you choose to turn it on. When you do, we do not charge a flat fee for "AI access." We charge 4 cents per response.
This is helpful for small businesses that do not know how much AI they will actually use. If the AI handles 100 questions about your hours or location, you pay 4 dollars. If it handles nothing, you pay nothing.
I prefer this because I have seen businesses sign up for expensive AI packages they never use. They get lured in by the promise of "unlocking efficiency" and then realize they only have three common questions that an AI could actually answer.
Moving your data from Zoho Desk
If you decide to leave Zoho, the first step is exporting your contacts and your knowledge base. Zoho makes this relatively straightforward.
When you set up a new tool like LastWorker, you can import those contacts so your history is preserved. You can set up your help center with the articles you already wrote.
The hardest part is the phone number. If you use Zoho for calling, you will need to port that number. At LastWorker, we handle the phone side too. A phone number is 1 dollar a month. Having your chat, email, and phone all in one place without a monthly seat fee is usually why people make the jump.
I always tell people to keep their Zoho account active for one month after the switch. You never want to realize you missed a critical support ticket because a redirect didn't work. The 7 dollars for that extra month of Express is the best insurance you can buy.

Jerry Holt has spent eighteen years running customer operations for service businesses, from a two-location restaurant group to a regional dental practice with eleven front desks. He has hired receptionists, written phone scripts at 2 a.m., and watched good leads die in a voicemail box. These days he writes about what actually moves the needle on the phones, in the inbox, and over chat, and where AI earns its place versus where it gets in the way.
Stop letting customers go to voicemail.
Set up in about fifteen minutes. Live chat and email are free forever, so there is no bill to weigh up before you try it.
